What are the most Common Problems you find in files from outside designers?

Some of the most common issues that we see everyday are:

Improper Color Space (RGB vs. CMYK):

Desktop printers are calibrated at the factory to output RGB files so they look good when printed to by common PC software like Word or a web browser. RGB is the most common color space used on digital cameras and PCs. Commercial presses use process (CMYK) and/or custom mixed inks (Pantone) when printing and require files created in these colors in order to accurately output your job.

Low Resolution Images:

Computer monitors are usually set to output on-screen images at between 72 – 100 dpi. Commercial presses print at much higher resolutions than even desktop printers. Ever printed a Word document and thought the images looked too soft or fuzzy? With commercial presses it is even worse. Designers must know the rules of thumb for file resolutions related to the press’s line screen. Typically this requires images of between 300 dpi and 350 dpi at a minimum to look their best.

Insufficient gutter space:

This occurs when your job is going to be folded and panels are too close to a fold or even just misaligned so that they become uneven or even bleed over onto the adjacent panel.

Insufficient bleed:

Speaking of bleed, this is often a problem that inexperienced designers forget about. Bleed is when your images and color spread outside of the page to assure that there are no white frames at the edges of the pages. Why is this an issue? Because commercial presses print at very high speed and paper can creep a bit. That is why having sufficient bleed is very important. Typically presses require 1/16″ or 1/8″ to be safe.

Content too close to the page edge or center gutter:

Speaking of press creep, there is also page creep with multi-page documents to consider. Images too close to an edge can inadvertently be cut off when the pages are cut. Different presses have different tolerances. Typically a 1/4″ outside margin is safe on many presses, but you should always check in advance to make sure.

Page creep is what happens when paper that is stacked and folded. It pushes away from the spine. Books and magazines are printed, bound and then finally cut. The more pages you have, the farther the inside most pages will creep away from the spine. The way a book is bound will affect the amount of creep that is introduced. Designers need to consider that the outside pages of a book or magazine will need more space at the inside gutter, while the inside pages will need more space at the outside page edge.

Today’s press systems can create the creep for you; however it will affect the presentation of the layout. It is always best to compensate in the actual design as opposed to afterward on press. This more true for layouts that are highly precise and contain multi-page spreads.

Documents created in software not made for commercial printing:

Incompatible file formats are often seen by printers every day. These are usually from office workers or part time desktop publishers that don’t own professional design software. Microsoft Office documents (Word, Excel and Publisher) print great on typical desktop printers, but not so well on commercial presses. Pages tend to reflow, fonts can be substituted, colors can shift substantially and objects can be left out completely. While our staff can often times convert files to a more suitable format for commercial printing, it is always better to start out with a properly formatted and compatible document for press.

Improperly created PDF files:

Sometimes even the most savvy and up-to-date designers can prepare PDFs for press with improper settings. The newest versions of InDesign, Illustrator, Quark XPress and Corel Draw can all produce documents that contain features that many commercial presses cannot handle. Choosing the proper settings when outputting a PDF are vital if you want your job to print without issues.
